INFORMATION ON THE PROGRESS AND FINAL REPORTS OF THE GACR PROJECTS for 2025

The deadline for submission of the progress reports for STANDARD PROJECTS and PIF projects is 15 January 2026.

The deadline for submission of all final reports and progress reports of EXPRO and JUNIOR STAR projects is 3 February 2025.

Important internal deadlines and information:

  • The requests for recharging material costs must be submitted for electronic approval no later than Monday 12 January 2026.
  • The request for transfer to the FÚUP for progress reports will be solved electronically. Please complete this table and send it to the relevant project economist who will enter the electronic approval, no later than Monday 12 January 2026 (not applicable to final reports).
  • Returns of unspent funds, even from partner organizations, must be notified to project economists no later than Tuesday 12 January 2026.
  • The accounting of ending as well as continuing projects must be closed NO LATER than Tuesday 13 January 2026.
  • Progress reports - by Sunday 11 January 2026, we will fill in the amounts spent in personal and operational costs for 2025 in GRIS. You will then fill in the justifications for the costs spent, justify the transfers in 2025 and fill in the plan for 2026 (amounts and justifications). No later than Tuesday 13.1.2026 till 12:00. This will be followed by a review from us.
  • Final reports, progress reports of EXPRO a JUNIOR STAR projects - by Monday 26 January 2026, we will fill in the amounts spent in personal and operational costs for 2025 in GRIS. You will then fill in the justifications for the costs spent and justify the transfers in 2025. For progress reports of EXPRO and JUNIOR STAR projects you will also fill in the plan for 2026 (amounts and justification). This will be followed by a review from us.
  • All project reports are completed fully in English, including cost justification.
  • The final profit and loss account will be uploaded to the project annexes in GRIS by the project economist after closing the project accounts and booking the transfer to the FÚUP.
  • After checking, you will be requested to generate a final PDF (please don't close earlier) which you will send to our internal address gacr@sci.muni.cz. The PDF must not be renamed, this would cause a certificate error.
  • If you make any changes in the report after checking it, please let us know.
  • Even investigators in the role of partner must have their part of the report checked before submission to the Principal investigator. If you have a deadline from the Principal Investigator for completing your report, please inform us about this deadline. Usually everyone requests the report completed earlier than we do.
  • If we are the Principal Investigator and you have a partner organization in the project, please inform them of the above deadline for notification of any returns and ask them to complete their part of the progress report by Tuesday 13 January 2026 (for final reports and progress report of EXPRO projects by Friday 30 January 2026).
  • If you need to complete the report earlier for serious reasons (e.g. going abroad without internet access, returning from abroad, serious family or health reasons...) please inform us in advance.

Information for progress reports:

  • For the first year of the project, only the management of funds and a list of publication outputs are reported in the progress report. A detailed report on the progress of the three-year project is submitted after the second year of the project. In the first year report, a detailed report on the progress would be reported only if there is a significant change from the original project plan.
  • For projects starting in 2025 a Data Management Plan must be included in the annexes of the progress report. There are financial penalties for failure to comply with this obligation.

Information for final reports:

  • According to the tender documents, only the financial part of the report is submitted in January after the end of the project. The scientific part of the report and the project outputs are submitted one year later in January 2027 (this option is predefined in GRIS under the "Overall management" tab). In this case, it is not necessary to fill in the final report now (part “Final report” on the tab “Implementation analysis“). If you want to submit a complete report with all outputs immediately, select the option "I request an evaluation" and fill in all required information. The third option is to request a postponement of the evaluation for another six months (until July 2027).

Recognition of outputs:

  • At least one of the authors of the publication must be listed in the project report as a member of the project team and must be affiliated with the beneficiary or co-beneficiary institution in the publication.
  • In case that in the published results of GACR projects there is a thanking to other projects of the GACR, the publication cannot be accepted as a project result unless these multiple dedications to other projects are sufficiently justified in the progress or final report. The justification of multiple dedications must explain which author is thanking which project, the contribution of each project to the publication output of the GACR project and the share of the work done by each project in the dedication.
